Dear Exhibitor,

All the resources and information you require to prepare for your participation at the MEDFEL trade fair are available online. Please take the time to read this section carefully so that you do not miss any important information or fail to complete a necessary step.

REVERSE SCHEDULE FOR EXHIBITORS

  • 5 March 2012 - 12 noon: closing date for access to company profiles
  • 12 March to 3 April 2012: access to participants’ catalogue via the website
  • 12 March 2012 - 12 noon: closing date for entering badge details
  • 5 April 2012 - 12 noon: closing date for submitting and validating meeting requests
  • 10 to 13 April 2012: you will receive your accommodation confirmation by email
  • 19 April 2012: you will receive your schedule by email
  • 24 April 2012: convention opens at 10am and BtoB meetings begin at 10:30am

 

1- EXHIBITORS’ TECHNICAL GUIDE

Once you have chosen the arrangements for your stand (space only or turnkey stand, individual or collective stand) and returned your registration form, you must familiarise yourself with the Exhibitors’ Technical Guide. This is a vital part of your preparations for the event which contains:

• general information,

• exhibiting information and security,

• technical services.

PLEASE NOTE: The forms contained in the Exhibitors’ guide and required by the organisers (Commissariat Général) must be returned within the stated deadlines (see FORMS section).

 

2- YOUR EXHIBITOR BADGES

IN YOUR MEMBERS’ AREA BEFORE 12 NOON ON 12 MARCH:

ENTER YOUR EXHIBITOR BADGE DETAILS:

Once you receive your login and password to access your personal area on the website, you can create your exhibitor badges and manage your personal folder. To register your badges, simply click here and complete the “request badges” form.

By default, the company name displayed on your badges will be the one recorded when you completed the online registration for the catalogue.


Your registration entitles you to 5 exhibitor badges; to request additional badges, please send an email to This e-mail address is being protected from spambots. You need JavaScript enabled to view it

The badges may be COLLECTED ONSITE from the exhibitor reception desk on your arrival at the fair.

 

3- YOUR PROFILE IN THE MEDFEL 2012 CATALOGUE

IN YOUR MEMBERS’ AREA BEFORE 12 NOON ON 5 MARCH:

COMPLETE / MODIFY YOUR CATALOGUE PROFILE so that you appear:
- in the official catalogue given out to visitors,
- on the exhibitors’ list on the website.

 

4- MEDFEL 2012 BUSINESS CONVENTION

Exhibiting at MEDFEL means that in addition to your involvement in the professional trade fair and its entire programme, you can also take part in a business convention!

a. WITH INTERNATIONAL BUYERS

The Région Languedoc-Roussillon enlists 150 VIP INTERNATIONAL BUYERS working in the fruit and vegetable sector or seeking transport/logistics solutions. These buyers select the exhibitors they wish to meet by checking out their “company profile”. You can then accept or refuse their meeting requests.

BEFORE 12 NOON ON 5 MARCH:

COMPLETE / AMEND YOUR BUSINESS CONVENTION PROFILE: this in-depth profile of your company will enable registered buyers to decide whether they wish to request a meeting with you as part of the business convention. May we remind you that Medfel is an international trade fair; we would therefore request that you complete your profile in French and English.

b. BETWEEN EXHIBITORS

As requested by exhibitors, we are offering you the chance to meet your fellow exhibitors in pre-scheduled BtoB meetings.

BETWEEN 12 MARCH AND 5 APRIL (12 NOON):

REQUEST YOUR BUSINESS CONVENTION MEETINGS

During this period, you can request BtoB meetings with other exhibitors via your personal area.

c. ORGANISING YOUR CONVENTION MEETINGS SCHEDULE

All you have to do is to ACCEPT OR REFUSE MEETING REQUESTS received from buyers or other exhibitors.

We will then organise your meetings schedule, taking into account meeting requests from buyers and exhibitors (which you have accepted) and meetings that you have requested with exhibitors (which they have accepted).

 

5- INFORMAL BUSINESS MEETINGS (OUTSIDE THE BUSINESS CONVENTION)

As at the previous fair, visitors can request informal meetings with exhibitors via the Visit / “Exhibitors’ list / Informal meetings” section.

The contact details of visitors wishing to meet you at your stand will be sent to you by email.

You can then decide whether or not to follow up these contacts, for example by agreeing to meet at your stand outside the business convention framework.

PLEASE NOTE:

These requests will not be included in the business convention meetings schedule: this is simply a way of bringing people into contact.

If you will be representing your company alone at  your stand, please let MEDFEL know the time slots during which you have made informal appointments and will therefore not be available for the business convention, so that we can take this into account when producing your business convention schedule.
